Privacy Policy

Capture & Co. Event Hire provides photo booth and selfie pod hire in West Yorkshire and the surrounding areas. You can contact us at CaptureAndCo.Event@gmail.com.

• Your name, email address, phone number and billing address.
• Your event details — date, times, venue name, venue address and event type.
• Your package, add-on and any discount selections, plus notes you send us.
• Your Terms & Conditions acceptance (version and timestamp), your typed digital signature, and separately, whether you gave optional marketing image consent.
• Payment records. Card details are handled directly by Stripe — we never see or store your full card number.
• Messages you send us through the website chat or contact form.

Photographs taken at your event are captured on our equipment, shared with guests at the event, and made available to you through a private online gallery link after the event.

• Galleries are accessed through a private link and are not indexed publicly.
• Galleries are available for a limited retention period (currently 90 days) after delivery, after which images may be removed from our online delivery system. Please download anything you want to keep.
• We may retain a working copy for a reasonable period for backup, reprints and dispute resolution.

When you book you may separately tick an optional marketing consent box. Ticking it is never required and does not affect your booking, your price or the service you receive. General acceptance of our Terms & Conditions is not treated as marketing consent.

Where consent is given, it covers selected photographs featuring you and, where you have authority to provide consent, members of your booking party, used on our website, portfolio and social media.

You can withdraw consent, or ask us to remove a specific image, at any time by emailing CaptureAndCo.Event@gmail.com. We will remove the image from our own channels as soon as reasonably possible. Individual guests can also ask us to remove an image of themselves.

• To provide the service you booked (contract).
• To take payment, issue invoices, send booking confirmations, balance reminders, gallery links and review requests (contract and legitimate interests).
• To keep accounting and tax records (legal obligation).
• To show our work in marketing — only where you have given consent.

We share only what is necessary with the services that run our booking system: Stripe (payments), our hosting and database provider, our email delivery provider and mapping or postcode lookup services used to calculate travel. We do not sell your data.

Booking and payment records are kept for as long as needed to run the business and to meet accounting and legal requirements. Gallery images follow the retention period above. Marketing images are kept only while consent stands.

You can ask for a copy of your data, ask us to correct it, ask us to delete it where we are not required to keep it, object to certain uses, or withdraw marketing consent. Email CaptureAndCo.Event@gmail.com and we will respond within one month. You can also complain to the UK Information Commissioner's Office (ico.org.uk).

Children may appear in event photographs. Where children are photographed we rely on the supervision and permission of the responsible adult present, and we will not use images of children in marketing without clear agreement from a parent or guardian.
